Email Cover Letter Format

The proper email cover letter format starts with the subject line of an email. In the subject line of your email write "Re:" ("Regarding"), and then the job title that has been advertised. It should look something like this: "Re: Manager position at Lampshades Co." You can also use the job title and your name, like this: "Application for Manager position – J.J. Reid."

At the beginning of an email cover letter, you'll want to write something like "Dear Hiring Manager" or "Dear Recruiting Representative". You can use these salutations if the email address you're writing to is ambiguous, or you don't know the name of the person you're contacting. If you do know their name, write it out fully with their title, or just as a title with their surname. For example: "Mr. Jobs" or "Mr. Phillip Jobs". There should always be a comma after this name, and then you start your cover letter two

Next, it's time to write the email, itself. An email cover letter is split into four parts, just as a standard cover letter is:

  • The first part covers why you are writing to the recipient, and which position you are applying for.
  • The second paragraph notes some of your skills which are relevant to the position you're applying for.
  • The third paragraph elaborates further on your skills and experiences, and sometimes tells a short "story" of an event that you can use to relate your talents to the job role.
  • The final paragraph is the closing paragraph, used to conclude your email cover letter, and tell the company what you can do for them as an employee.
  • You would then professionally sign-off the email, just as you would for a normal cover letter. For example:
    "Warm regards,
    J.J. Reid"

I am an organised person who enjoys working in a team, and I have 5 years of experience in customer service and sales. I took some time away from work to finish my education, and now find myself wanting to return to the retail field, as it's something that I excelled at.

In my last retail position, I was the Team Leader for the Little Lights Southampton store, a lights and lampshades sales company that has several branches across the UK. In this position, I was given training in leadership and management, as well as sales tactics and upselling. I was responsible for a team of 5 individuals, 2 of which I trained personally.

I feel this opportunity with Lampshades Co. would allow me to slide back into a field of work that I am familiar with. Your department would benefit from not having to fully train a new employee, and instead, I would be able to contribute straight away with some of the sales techniques that I was taught during my time with Little Lights. My references are attached, and my previous manager is happy to take your call.
